Data Import Row Error Report

Import row error reporting is extremely helpful if you work with importing complex data into Microsoft Dynamics CRM 2011 or Microsoft Dynamics CRM 2011 Online.  The standard CRM functionality allows you to see the error rows, see the errors that caused the line failure, and export the failed rows so that you can rework and re-import.  

The problem with standard CRM functionality is that it does not allow you to export the cause of your errors along with your data or to filter out a sub-set of error rows for export.  When you are working with a large set of data, you would like to know which rows need your attention and for what reason.  For example, you may have 500 failure rows, 350 of which failed due to a duplicate detection rule, 130 of which failed due to a the failure to create an accompanying parent customer account or contact record and 20 of which failed due to data conflicts or other reasons.   

When you export your error rows, CRM exports all error rows, regardless of the reason.  Without the error codes, it is a painful, manual process to determine which rows require attention and why.  

MBI has created a helpful report for both Microsoft Dynamics CRM and Microsoft Dynamics CRM Online which allows you to retrieve both the error rows and the accompanying error codes for vastly improved management of data import error handling.  

This report includes the source file row number, error description, error number, column (this is often blank), data headers and the data itself.  

To use the report once you have purchased it and downloaded it:

Install the report on your CRM system

  1. Workplace > Reports > New 
  2. Report Type = Existing File
  3. Browse to where you have saved the file on your local computer
  4. Save (this loads the report)
  5. Actions > Make Available to Organization (if you choose)

To run the report

Navigate to Workplace > Reports > Retrieve Import Error Rows (or an alternate name if you chose) and double click the report.  You will see a blank report with "Select Import" at the top corner.

Choose your import file and click "View Report" to run the report details

Common import errors that CRM will produce are:

"A record was not created or updated because a duplicate of the current record already exists."
This indicates that the record failed due to an existing duplicate detection rule in CRM.

"Contact With Id = xyz64c43-55ea-e011-8629-1cc1def17792 Does Not Exist"
This indicates that the record failed during a accounts-contact import because the related account or contact failed to import.

To work with your report data, click the Save icon and choose Excel.

The contents of the report will be sent to an Excel file.  From there, you can sort and filter the report based on the error reasons that you want to address.  Once you have filtered your data set, you will need to split your data column into multiple columns.  Do this using the Excel "Text to Columns" feature.
